KINGS COUNTRY POA Public Meeting and Board of Directors Meeting

JANUARY 21, 2012 - 9:00 AM

 

 

ATTENDEES:  Henry Oertel, Martha Oxford, Bennie Scarbrough, Barbara Womble,

                        Mike Hellman, Ted Moulton

ABSENT:         Fred Monroe

 

1.             Meeting was called to order by President, Henry Oertel.  A quorum was present.

 

2.             Minutes from December 17, 2012 meeting were presented by Barbara Womble

 

Motion made by Martha Oxford and seconded by Bennie Scarbrough to accept the minutes.  All approved.

 

 

      3.         Treasurer’s Report was presented by Martha Oxford.

 

     

Current Month P & L

      Membership income $11,384 is up from December 2011 by $2,479. Total income $12,332 is also up by $3,269 compared to December 2011. Expenses were $15,879 which is $2,447 more than December 2011.

 

Year to Date P & L

      YTD membership income is up $4,735 versus 2010 but Income from prior years is down $7,183 against 2010.  Again, prior years income will be reflected as a minimal amount in next years’ budget. Expenses are down from one year ago mainly in administration and headcount/salaries (-$22,569). Cash flow (Income-Depreciation) is up compared with 2010 by $13,601mostly due to rescheduling of insurance payments

 

 Current Month Balance Sheet

      Cash is up $3,223 compared to November 2011.

      Assets are up $2,300 due to final parking lot work at Jim Stewart Park. .

 

 Year to Date Balance Sheet

       YTD Cash is down when compared to 2010 ($77,789) due to paying off the boat stall loan in January 2011. Our liabilities are only $16,549 which included $1,400 building permit deposits and $13,547 in Yard Sale monies and $2,056 in Payroll Taxes.  

 

Cash Flow Graph

      The Cash Flow Graph shows December at $3,975. This is up $9,591 from a year ago again this is helped my moving insurance payment to January. 

 

Income & Expense Forecast

      Income & Expense Forecast shows we should achieve the reduced budget income of

      $310,000 (projected $323,754) and beat budgeted expenses of $200,000 (actual$175,753) Excellent job by Dwayne and staff to keep our expenses almost $25,000 under forecast.

      6.         Committee and Staff Reports

 

a.     Communications.............................................................................................. Martha Oxford

The newsletter went out with the first quarter billing. It was expanded to 8 pages this time and included this year’s photo contest winners.  We have had several great reviews for this newsletter.  The required email notice for this Board meeting went out last Wednesday with a note included about the nomination of candidates for the upcoming BOD election. Jim Porterfield is assisting in this process as well as Lloyd Parker and Bill Moore. 

 

 

b.    Maintenance/Security................................................................................ Bennie Scarbrough

Home Fire on King club Boulevard. Fire departments responded with approximately 15 trucks.  Dogs barking calls were handled. Several Solicitors were shown the gate.  Maintenance crew has been busy at Jim Stewart Park laying base material for the parking lot and a path to the boat stall.  Charles Yates has been rehired to fill the vacant maintenance position.

 

c.     Road and Dam Report

                                    No activity on road repair to report other than we’ve had several dead trees fall

                                    lately.  The Maintenance crew will be on the lookout to deal with dead trees that

                                    might fall into the roadway.   

 

d.    Architectural Control/Variance…………………………………………………Henry Oertel

1)     We have 9 active permits – 3 remodels, 4 retaining walls and 2 miscellaneous We have collected $13,060.75 for 2011 building permits  $200.00 YTD in 2012 building permits.

2)     Pieter Post has been sent the 15 day cleanup letter regarding the retaining wall project on king Club Ct. So far, there has been no response.

 

e.     Land Management.............................................................................................. Ted Moulton

                 We paid the Franklin County Property taxes.  We paid $3,987.34 on 320 lots. (167 Park Lots @ $1.68 each and 153 lots in inventory.)  We recovered a judgment in the amount of $1,278.00 against a suit filed in 2004.  We had 4 lots returned:  Lot 471, Section I on King Cecil Ct, Lot 26, Block 12 Section III on King Charles Rd, Lot 9, Block 11, Section III on King Arthur Rd and Lot 54, Block 8, Section III on King’s Country Blvd.

 

f.     Parks and Public Areas

           Our Boat Ramp remains closed due to the low lake level.  The lake is now 36” low. 

           We will reopen the Boat Ramp when the lake reaches 24” low.  Mike went to

           Select the trees for the front area planting.  We will begin preparing the area

           shortly.  The Maintenance Crew has been busy at Jim Stewart Park putting

           down base material on the parking area and a path to the boat stalls.

 

 

g.    Property Manager…………………………………………………………………Dwayne Fikes

1)     Dues Collections:  2009 open invoices $8,695.46 2010 open invoices $9,245.48 2011 open invoices $13,590.45.   

2)     1st Quarter of 2012 we have invoiced $126,828.62.  We have received $48,069.23 and have a balance due of $78,759.30.

3)     Dredging of the shallow end of Lake Prince is scheduled for February. Start of construction on new maintenance shop building is scheduled tentatively for March. Contracted Road Work is scheduled for April or May depending on weather.  2011 income tax information is being gathered to send to our CPA.  2012 insurance package has been completed and paid for ($13,251.16)
